Covalence collects information you provide directly, including your name, email address, and profile information when you register an account. We also collect usage data such as your interactions with the platform, integrations you connect, and feedback content you submit.

2. How we use your information

We use your information to provide, maintain, and improve the Service. This includes operating your account, processing peer endorsements and recognition, generating AI-synthesized feedback summaries, and communicating with you about your account. We do not sell your personal information to third parties.

3. Feedback and recognition content

Feedback, endorsements, and recognition submitted through the Service are stored and processed to provide the core functionality of Covalence. This content is associated with your account and may be visible to other members of your organization as determined by your organization's settings. AI-generated summaries of your feedback are produced on-demand and are not shared with third parties.

4. Data sharing and third parties

Covalence shares your data only in the following circumstances: with third-party integrations you explicitly connect (Linear, Jira, GitHub, Slack) as needed to operate those integrations; with service providers who assist in operating the Service (e.g., hosting and AI model providers) under appropriate confidentiality obligations; and when required by law or to protect our rights.

5. AI and LLM processing

Feedback content may be processed by large language models to generate synthesized insights, summaries, and themes. This processing occurs under data processing agreements with our AI providers. We do not use your feedback data to train AI models.

6. Data retention

We retain your account information and feedback content for as long as your account is active or as needed to provide the Service. You may request deletion of your account and associated data by contacting us at privacy@covalence.io. We will fulfill such requests within 30 days, subject to any legal retention obligations.

7. Security

Covalence implements industry-standard technical and organizational measures to protect your data. This includes encryption in transit and at rest, access controls, and regular security reviews. No security measure is absolute; we cannot guarantee complete security but we are committed to maintaining appropriate protections.

8. Cookies

Covalence uses essential session cookies to maintain authentication and session state. We do not use advertising or tracking cookies. Your browser settings can control cookie preferences.

9. Children's privacy

The Service is not intended for individuals under the age of 16. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated policy at this URL with a revised "Last updated" date. We will notify you of material changes by email or through the Service.
